Time Tracking and Reporting Application

Design and develop a customised time tracking and reporting tool with regards to project time and personnel, that can provide exports and connectivity to Sage 50 and Sage 200 Accounting systems

Create a fully featured time tracking system that records time segments of 15 minutes, with the ability to enter data per day, week and month. Provide a facility to report personnel time usage as well as department, product and the company overall.

A Flexible reporting system was required to enable management staff to cut data in various ways exporting out to formats supported by Sage 50 and 200. Full user and product administration was needed as well as graphical representation of tasks, projects and spend (P&L sheets, overbudget project highlighting etc) in the form of information dashboards.

Implemented Solution

A Yii framework solution was developed to provide a rapid development, modularised, flexible system that had the capacity to be expanded as business need grew.  Access to the system was controlled by LDAP as the company had in place an Active directory structure. Projects were split into sections which were then assigned tasks and personnel.  Each task included estimated effort as well as actual time spent for profit and loss calculation at the end of a project.  Tasks time was graphically represented on dashboards by a series of line graphs and data tables. The reporting feature provided views to query the system according to project, task, user, department and company overall.  Export features were provided throughout the system, exporting to CSV for Sage 50 and 200  and XLSX for further manipulation. A dedicated administration module serviced access to the system as well as user permissions, project groups, default task assignment and dashboard view preferences.

The system was hosted by Saxby Willson according to a maintenance SLA for the Client.  The project underwent two additional expansions post the initial scope.
